Job Description:

Assists the Nurse Manager of the ICI/CICU and IMC Units in the hospital with various clerical and administrative duties.

•Accurately enters and post employee's schedules.
•Prepares and enters daily and weekly scheduling changes.
•Compiles performance improvement data, preparing periodic statistical reports using various software packages; verifies accuracy of computation and completeness.
•Attends assigned meetings, taking notes and typing correspondences, forms and reports, proofing all material for accuracy and appropriate format, maintaining minutes for JCAHO and other regulatory agencies review.
•Assists in the preparation and distribution for departmental and Hospital committee meetings, ensuring required documents are available.
•Opens sorts and distributes incoming mail, answers routine correspondence independently.
•Maintains office supplies and prepares purchase orders.
•Maintains employee and manager files.
•Prepares letters, reports, presentations utilizing appropriate software and formats.
•Maintains conference room schedules.
•Maintains tracks and distributes mandatory requirements, CPR, licensure and other related mandatory requirements, reporting compliance issues to manager for assigned unit staff.
•Orders supplies and tracks expenditures, reporting discrepancies to manager.
•Assists in tracking recruitment and retention initiatives, tracking turnover and FTE vacancy for unit.
•Assists with maintaining Manager's schedule and schedules meetings as requested.
•Establishes, maintains and revises departmental files and records.
•Prepares payroll for processing and reconciles labor distribution sheets.
•Processes employee status changes, PRs, FMLA, and LOA paperwork.
•Participates in departmental special projects as assigned.
•Maintains bulletin boards and posts information as requested.
•Prepares monthly evaluation folders, prints evaluations.
•Attends section/department/hospital meetings, in-services, etc., as required.
•Displays an understanding and awareness of, and performs all duties in accordance with, the hospital's Mission and Vision Statements.

Position Requirements

Formal working knowledge; equivalent to an Associate's degree (2 years college); requires knowledge of a specialized field
At least 3-5 years of relevant experience
Understanding of Certifications, Licenses, and Registrations is preferred.
Technology/Software knowledge
Proficient with using Microsoft Office Suite
Standard Office Equipment
Windows application
Healthstream experience is preferred
Scheduling Applications: Groupwise, ANSOS, E-shift experience is preferred
Payroll Applications: Kronos experience is preferred
